1. Who we are This Policy applies to Perennial a residential property development company in the Southern Highlands of NSW. It covers our public website, staff console, and client, trade, and agent portals (the Platform). We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Information we collect 1. Identity and contact details — name, email, phone, address, role (buyer, agent, trade). 2. Enquiry and interaction information — the content of your enquiries and correspondence (email, SMS, chat, phone notes), and which pages and content you viewed. 3. Marketing preferences — your per-channel consent for email, SMS, and MMS marketing. 4. Project and transaction information — for clients, trades, and agents, the records needed to run a project or transaction. 5. Account information — login identifiers and assigned role for users with portal access. 6. Device and usage information — collected automatically; see section 5. We do not deliberately collect sensitive information (as defined by the Privacy Act). If you provide it voluntarily, we handle it under APP 3.

3. How we use it To respond to enquiries, manage sales and project work, send marketing where you've consented, operate and secure the Platform, comply with our legal obligations, and defend our legal rights. We do not sell personal information.

4. Who we share it with We share personal information only as needed with: 1. Staff and contractors under confidentiality and access controls. 2. Agents, trades, conveyancers, lenders, and other advisers involved in a project or transaction you are part of. 3. Service providers that host or operate the Platform — categorised in section 6. 4. Government and regulators where required by law. 5. A purchaser or successor of our business, on equivalent terms.

5. Cookies, analytics, and tracking Always on (strictly necessary): 1. A first-party anonymous visitor cookie used to recognise return visits. 2. A first-party cookie storing your consent decision. 3. Anonymous, cookie-less click and scroll-depth measurement. On only when you opt in (Analytics toggle): privacy-focused, cookie-less aggregate analytics and a first-party pageview log. On only when you opt in (Marketing toggle): measurement of our paid social and search advertising. May set cookies controlled by the advertising platform. Change your decision at any time via Cookie preferences in the website footer. Withdrawing consent does not affect anything done before withdrawal.

6. Service providers and overseas disclosure We use third-party service providers to operate the Platform. Each is engaged for a defined purpose and given access only to the personal information needed for that purpose. The categories are: 1. Cloud hosting, database, authentication, and file storage (primary database in Sydney, Australia). 2. Email delivery. 3. SMS delivery (from a shared Australian sender number). 4. Staff email and productivity. 5. Mapping and location. 6. Privacy-focused analytics. 7. Advertising measurement (only when you have given marketing consent). 8. Bot and spam protection. 9. AI tools used internally by staff — personal information is not sent to these unless it appears in correspondence we process. Some providers store or process data outside Australia (typically the United States or the European Union). By using the Platform you acknowledge this overseas disclosure. We take reasonable steps to ensure each provider handles personal information consistently with the APPs. You may request our current list of named service providers using the details in section 10.

7. Direct marketing We send marketing email and SMS only with your consent, recorded per channel. Every marketing message includes a clear unsubscribe option, honoured within 5 business days as required by the Spam Act 2003 (Cth).

8. Your rights — access, correction, and erasure You may ask us to give you access to (APP 12), correct (APP 13), or delete personal information we hold about you. We will respond within 30 days. Contact us using the details in section 10.

9. Security, retention, and data breaches We take reasonable steps to protect personal information (APP 11): role-based access, row-level database security, encryption in transit and at rest, administrative logging, and bot protection on public forms. We retain personal information only for as long as we need it for the purposes in this Policy or to comply with our legal obligations [CONFIRM retention periods]. If we become aware of an eligible data breach likely to cause serious harm, we will notify you and the OAIC as soon as practicable, as required by Part IIIC of the Privacy Act.
